How to Build an Ideal Customer Profile (ICP) for B2B Outreach

Most outbound campaigns that fail don’t fail because of the copy. They fail because they were sent to the wrong people. An ideal customer profile (ICP) fixes that: it is a short, specific description of the companies and people most likely to buy from you, and it drives every list, message and campaign you run.

ICP vs. buyer persona

An ICP describes the company: industry, size, location, budget and situation. A buyer persona describes the person inside that company: their role, goals and objections. B2B outreach needs both, in that order. First pick the right companies, then the right people within them.

Step 1: Start from your best customers

List your 5 to 10 best clients: the ones who paid well, stayed longest and were easiest to work with. For each, note:

  • Industry and sub-niche
  • Number of employees and approximate revenue
  • Country and city
  • Who signed the deal (title and seniority)
  • Why they bought, and why then

Patterns appear quickly. That pattern is your first ICP.

Step 2: Define firmographic filters

Turn the pattern into filters you can search on:

  • Industry: for example, “marketing and advertising agencies” or “B2B SaaS”.
  • Company size: for example, 11 to 200 employees.
  • Location: for example, United Kingdom and Ireland.
  • Technology or signals: for example, uses HubSpot, recently raised funding, or is hiring sales staff.

Step 3: Pick the decision-makers

For each target company, decide which titles to contact. Usually that means one economic buyer (Founder, CEO, Managing Director) and one user or champion (Head of Marketing, Sales Director). Two or three contacts per company is plenty.

Step 4: Write down the trigger

A trigger is the event that makes now a good time: a new hire in marketing, a product launch, an expansion into a new market, a funding round. Triggers turn a cold email into a timely one.

Step 5: Test, then tighten

Start with one narrow segment of 300 to 1,000 contacts. Measure replies and meetings. Keep the segments that respond, cut the ones that don’t, and refine your filters every month.

An ICP template you can copy

  • Industry: ____
  • Company size: ____ employees
  • Locations: ____
  • Decision-makers: ____ (economic buyer), ____ (champion)
  • Trigger: ____
  • Exclude: competitors, existing clients, companies under ____ employees

Turn your ICP into a list

Once your ICP is written, building the list is the easy part. Send it to leadSaler and we’ll build a targeted lead list with validated emails, or run an Apollo.io export from your filters. Get a free sample to test your ICP before you commit.
