How to Find Decision-Makers’ Email Addresses for B2B Outreach

Finding the right person is half of B2B outreach. Finding a working email address for them is the other half. Here are the practical methods sales teams use to find decision-makers’ business emails, and how to stay on the right side of the rules while doing it.

Step 1: Identify the right decision-maker

Before hunting for emails, be sure you have the right person. Check the company website’s team page, LinkedIn and recent press releases. For most B2B purchases, aim for the economic buyer (Founder, CEO, Managing Director) and the department head who would use your product.

Step 2: Methods to find the email

Company website and public sources

Team pages, press releases, conference speaker bios and author pages often list business emails directly.

Email pattern guessing

Most companies follow a format such as firstname@company.com or firstname.lastname@company.com. If you know one colleague’s address, you can often infer the pattern. Always validate guessed addresses before sending.

B2B data platforms

Databases such as Apollo.io let you search by role and company and reveal business emails. Quality varies by record, so validate before use. If you don’t want a subscription, an Apollo export service can pull the data for you.

LinkedIn and Sales Navigator research

LinkedIn shows who holds which role, but not their email. Pair LinkedIn research with an email finder or data provider.

Done-for-you research

For larger lists, outsourcing saves days of manual work. A researcher builds the list to your ICP and verifies each email.

Step 3: Validate before you send

Whatever the source, run every address through email validation. It flags invalid, catch-all and risky addresses so you protect your sender reputation. See our guide to validation statuses for what each label means.

Step 4: Stay compliant

  • Only contact people about things relevant to their job.
  • Say who you are and why you’re reaching out.
  • Include an easy opt-out and honour it promptly.
  • In the UK and EU, follow GDPR and PECR; in the US, CAN-SPAM; in Canada, CASL (stricter consent rules).

This is general guidance, not legal advice.

Common mistakes to avoid

  • Sending to guessed addresses without validation.
  • Emailing generic inboxes (info@, hello@) when you want a specific decision-maker.
  • Contacting too many people at the same company at once.
  • Reusing old lists without re-checking them.
